01 Who we are

Solarex Ltd (“Solarex”, “we”, “us”, “our”) is an Engineering, Procurement and Project Management Contractor specialising in solar and energy storage solutions for Commercial and Industrial properties in Mauritius. We are the data controller responsible for the personal data described in this notice.

02 What personal data we collect

We only collect what we need to respond to your enquiry and prepare a solar proposal. Depending on how you interact with us, this may include:

We do not ask you to provide sensitive personal data (such as health, religion or political opinions), and we ask that you do not send it to us.

03 Why we collect it

We use your personal data to:

• Respond to your enquiry and answer your questions;
• Prepare a preliminary system size, cost estimate or formal quotation;
• Arrange and carry out site visits, consultations and installations;
• Communicate with you about your project, including by phone, email or WhatsApp;
• Improve our website, services and customer experience;
• Keep records and meet our legal and regulatory obligations.

The solar calculator produces an approximate estimate based on the figures you enter. Using it is anonymous — nothing reaches us until you choose to send your details. It makes no binding decision: a real proposal always involves a member of our team.

04 Our lawful basis for processing

Under the Data Protection Act 2017, we rely on the following lawful bases:

• Your consent — when you submit a form, use the calculator or message us, you consent to us using those details to respond. You can withdraw consent at any time.
• Steps towards a contract — where you ask us to prepare a quote or plan an installation for you.
• Legitimate interests — to run and improve our business and website, in a way that does not override your rights.
• Legal obligation — where we must keep certain records by law.

05 The Solarex assistant (“Sora”)

Our website includes a chat assistant that helps guide your enquiry and point you to the right information. When you use it:

• The messages you type may be processed to understand your request and give a relevant response;
• If your enquiry needs a human, the details you share may be passed to our team so we can follow up;
• Please avoid entering sensitive personal or financial information into the chat.

The assistant is there to help you find information and start a conversation. It does not make any decision about your project on its own — pricing, eligibility and installation are always confirmed by our team.

06 Who we share your data with

We do not sell your personal data. We share it only where necessary, with:

• Service providers who help us run the website and communicate with you — for example our website hosting provider, email delivery provider and the messaging platforms we use;
• Financing partners (such as the banks named on our calculator) only where you ask us to help arrange a green loan and you agree to the introduction;
• Professional advisers and authorities where we are required to by law.

Anyone who processes data on our behalf is required to protect it and use it only for the purposes we specify.

07 International transfers

Some of the technology providers we use (for hosting, email and messaging) may store or process data on servers outside Mauritius. Where this happens, we take reasonable steps to ensure your data continues to receive an adequate level of protection, consistent with the requirements of the Data Protection Act 2017.

08 Where your enquiry is stored and who can see it

When you send us an enquiry — through the contact form or the solar calculator — we keep a record of it in our own customer system, so that our team can follow it up properly instead of losing it in an inbox. That record holds:

• Your name, email address, phone number and the address or area of the property;
• What you entered in the calculator — bill, equipment, building and roof type, financing preference — and the estimate it produced;
• Your message, any site-visit date and time you asked for, and the language you were reading the site in;
• Notes our team adds while following up, and any quotation we prepare or send you.

If you contact us by phone, at an event or in person, a member of our team may enter the same details into that system on your behalf, so that we can follow your enquiry up. It holds only what you told us.

The system runs on Cloudflare infrastructure, in a database hosted in Western Europe, and is reachable only through a private staff area of this website. Only named members of the Solarex team can open it, each signing in with a one-time code sent to their work email address — we store no passwords. Your enquiry is not used for advertising, is not sold, and is not shared beyond what section 06 describes.

You can ask us at any time for a copy of your record, for a correction, or for it to be deleted — see “Your rights” below and the contact details at the end of this notice. When we delete a customer record, we delete everything attached to it: the enquiries, the notes, the activity history and the quotations.

09 How long we keep your data

We keep your personal data only for as long as we need it for the purposes set out above:

• Active enquiries and projects — for the duration of our discussions and any resulting work;
• Completed or inactive enquiries — up to 24 months after our last contact with you, in case you come back to us, after which we delete or anonymise the record;
• Records we must keep by law — for the period required by Mauritian law.

10 How we protect your data

We take appropriate technical and organisational measures to keep your data safe, including encrypted connections (HTTPS) across our website, restricted access to enquiry records, and trusted service providers. While no system can be guaranteed completely secure, we work to protect your information against loss, misuse and unauthorised access.

11 Your rights

Under the Data Protection Act 2017, you have the right to:

• Be informed about how your data is used (this notice);
• Access the personal data we hold about you;
• Have inaccurate or incomplete data corrected;
• Ask us to erase your data, where there is no legal reason to keep it;
• Object to or restrict certain processing;
• Withdraw consent at any time, where we rely on it.

To exercise any of these rights, contact us using the details below. We will respond as soon as we reasonably can. If you are not satisfied with our response, you may lodge a complaint with the Data Protection Office of Mauritius (dataprotection.govmu.org).

12 Cookies and similar technologies

Our website may use a small number of cookies or similar technologies to remember your language preference (English or French) and to help the site function correctly. You can control or delete cookies through your browser settings at any time. If we add analytics or marketing cookies in future, we will update this notice and, where required, ask for your consent.

13 Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

14 Changes to this notice

We may update this notice from time to time to reflect changes in our services or the law. When we do, we will revise the “last updated” date at the top of the page. We encourage you to review it occasionally.
